Every request logged, assigned and closed with proof
Facilities companies deliver hard and soft services across many buildings, under contracts with response times written into them. We build the request intake, technician tools and reporting that show those commitments are kept.
What gets in the way
Requests arriving from every direction
Occupants report faults by phone, email, WhatsApp and to the guard at the gate, and some never reach the helpdesk at all.
Proving response times to clients
Clients ask for response and completion times per contract, and the figures are pieced together from timestamps scattered across messages.
Planned maintenance that slips
Scheduled checks on chillers, lifts, fire systems and generators live in spreadsheets and get missed when staff change.
Technicians arriving unprepared
The technician reaches the site without the asset history or the right part, and a second visit has to be booked.
Where we usually start
- AI agents for WhatsAppOccupants report faults on WhatsApp with photos, and the assistant creates the work order, sets priority and sends status updates.
- Voice and call agentsAfter-hours calls answered, logged as tickets and escalated to the on-call supervisor when the fault is urgent.
- Mobile app developmentA technician app with job details, asset history, checklists, photos and customer sign-off at completion.
- Workflow automationPreventive maintenance generated on schedule, assigned by skill and area, and escalated when a job runs past its target time.
- Portals and bookingClient and occupant portals showing open requests, completed work and planned maintenance for each building.
- Data and BISLA dashboards per contract and site, ready for monthly client reviews without manual compilation.
Questions we are often asked
We already use CAFM software. Do we need a new system?
Often not. We can add WhatsApp intake, portals or reporting on top of your current CAFM software through its API, and build new only where the existing tool cannot do the job.
Can the assistant tell an emergency from a routine request?
Yes, using rules you define. Reports of leaks, smoke or a stuck lift go straight to the on-call supervisor, while routine requests are logged and scheduled.
Can our clients see their own SLA figures?
Yes. A client portal or a scheduled report shows open and closed requests, response and completion times and planned maintenance carried out, for each site in their contract.
Does the technician app work offline?
It can. Checklists, photos and signatures are stored on the phone and synced when the connection returns, with the time recorded when the work was done.
